Capture every PDF. From every app.
CriticalPDF is a Windows suite that turns any document you can print into a routable PDF. Define a template per document type, and let the local service capture, match, and deliver — save, email, print, or all three.

Built for high-volume document capture.
Everything you need to capture, route, and process PDFs at scale — in a single Windows installer.
Capture from any printer
Installs as a virtual printer. Print from Word, Outlook, Chrome, AutoCAD — anything — and CriticalPDF captures the document the moment you hit Print.
Per-document-type templates
Define a template for each kind of document — invoice, statement, discharge summary, work order. CriticalPDF reads the text and routes it through the matching template automatically.
Multi-provider email built in
Send through Gmail (OAuth2), Office 365 (MSAL), custom SMTP, or CTI relay — switch providers without touching your templates.
Granular PDF encryption
Per template, control exactly what recipients can do — print, copy, modify, fill forms, extract. AES with selectable key lengths; passwords stored separately from your config.
Process whole print runs in one go
Add an <end> marker between documents in your source and CriticalPDF splits the captured job into individual sub-documents — each with its own template match, variable substitution, and destination. One Print from your ERP can fire 2,000 personalised emails to 2,000 customers, with a confirmation dialog before the batch runs.
Built-in savings calculator
Configure your per-job costs once — stamps, paper, toner, labor — and CriticalPDF reports the paper-mail spend you've avoided. Hard numbers for the next budget meeting.
Security
Credentials, encryption, and audit — done the right way.
SMTP passwords and OAuth tokens go into the Windows Credential Manager, not a config file. PDFs leave the building with the exact permissions you decide. And the management API never touches the network.
- SMTP passwords and OAuth tokens in the Windows Credential Manager (DPAPI) — never in config.json
- Per-template AES encryption with granular recipient permissions
- Offline licence cache is HMAC-signed — it can't be forged or hand-extended
- Dead-lettered captures sealed with a random per-install key
- Loopback-only management API — bound to 127.0.0.1, never the network
- Diagnostics bundles redact secrets before they leave the machine
The per-capture review window — opens automatically when a template's Action is "Ask each time."
